JOB DESCRIPTION
- FULL-TIME
A non-academic position, which performs diverse and highly responsible secretarial/receptionist duties. Manges the smooth flow of work processes in the College's front office. Maintaining high levels of confidentiality as pertains to sensitive and confidential information in compliance with Family Educational Rights and Privacy Act (FERPA) and College and University policies. Overseeing the day-to-day activities of the office by carrying out duties such as providing support to leadership, supervising student workers and graduate assistants, and ensuring office equipment is in good working conditions and supplies are always available.
RESPONSIBILITIES
- Manages the front office of the College of Education
- Serves as first point of contact for the College of Education
- Answers telephone and assist walk-in students with general inquiries for the College of Education
- Schedules appointments for walk-ins to see either Undergraduate/Graduate Chairs.
- Coordinates College of Education events and receptions, prepares Sodexo requisitions, and assists in hosting events.
- Implement procedures for record protection, retention, record disposal, archival, and retrieval.
- Manages mail distribution
- Directs student sand visitors to the appropriate person; determines the correct form to complete and helps to complete it.
- Typing correspondence, memos and emails.
- Orders forms, updates lobby plaques, bulletin boards and maintains the supply closet.
- Maintains files and computer database of alumni employment, risk management, and insurance forms for students.
- Maintains the break room and cleaning of common office areas.
- Responsible for attending Undergraduate and Graduate Council and College faculty meetings to record minutes and distribute them electronically to faculty.
- Help with preparation Cohort each semester.
- Assists COE administrative assistant to the Dean as needed.
- Recruits, hires, trains, and supervises all student workers and graduate assistants.
- Delegates tasks to student workers and graduate assistants.
- Evaluates graduate assistants and student worker's work performance in conjunction with undergraduate and graduate chairs.
- Sends out Defense of Proposal and Dissertation Defense notifications.
- Works with the Chair of the graduate department to prepare dissertations for publication.
REQUIREMENTS
KNOWLEDGE & EXPERIENCE:
- High school diploma or GED required.
SKILLS & ABILITIES:
- Requires two years of administrative secretarial experience
- Accurate keyboarding skills and experience with Microsoft Word and Windows
- Must have good writing and verbal skills
- Ability to meet people, work with students, faculty and staff, and be aware of timelines and time management
- Must have good interpersonal skills for dealing with various internal and external resources
- Must have an eye for detail, good organizational skills and the ability to prioritize multiple tasks
- The ability to maintain confidentiality of information is a must due to federal and/or internal regulations
- Must be able to maintain a clean and neat work environment
