JOB DESCRIPTION
- TEMPORARY
An office administrator handles the administrative tasks that allow an office to function efficiently. This includes guest interactions, schedule management, inventory management, and other tasks as requested by existing office staff. Responsible for providing administrative, clerical, and project support that contributes to the overall function of the department. Serves as the main liaison between the public and department members—answering general inquiries and connecting individuals to the appropriate department team member for assistance. This position prioritizes organization, customer service and communication. May also spearhead special assignments and projects in matters pertaining to the administration of their respective department.
ESSENTIAL FUNCTIONS
Administrative
- Coordinate office activities and operations to secure efficiency and compliance to company policies.
- Provide administrative support to ensure efficient operation of office.
- Create and update records and databases with personnel, financial and other data.
- Maintains schedules and coordinates department events in collaboration with department team members.
- Exhibit polite and professional communication via phone, e-mail, and mail.
- Answers phone calls, schedules meetings and supports visitors.
- Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Perform a variety of administrative duties, such as generating and distributing memos, letters, spreadsheets, forms, and sorting and distributing incoming mail.
- Perform other tasks as outlined in departmental Standard Operating Procedures.
Finance
- Monitor and administer departmental purchasing functions—ensuring compliance and timely submission of requisitions and work orders utilizing the appropriate software/platforms.
- Perform other administrative tasks as outlined in departmental Standard Operating Procedures.
Supervisory & Project Management
- Recruit and supervise student workers and divide responsibilities to ensure performance. This includes time-clock management, hiring, processing paperwork, etc.
- Coordinate projects as assigned—ensuring efficient and accurate project completion.
- Completes operational requirements by scheduling and completing administrative projects.
- Perform other tasks as outlined in departmental Standard Operating Procedures.
REQUIREMENTS
KNOWLEDGE & EXPERIENCE:
- Proven experience as an office administrator, office assistant or administrative role
- High school diploma or equivalent; college degree preferred
- Excellent organizational and leadership skills
- Familiarity with office management procedures and basic accounting principles
- Excellent knowledge of MS Office and office management software (ERP etc.)
- Knowledge of office management systems and procedures
SKILLS & ABILITIES:
- Multi-tasking and time-management skills, with the ability to prioritise tasks.
- Must have the ability to effectively deal with persons from a variety of cultural backgrounds.
- Maintains compliance with the Family Educational Rights and Privacy Act (FERPA).
- Outstanding communication and interpersonal abilities
